Our interview took place over the telephone around noontime before an evening game was to be played. Kevin Green is not only a professional baseball coach, but was also a former professional baseball player for the Florida Marlins baseball organization. I chose Kevin Green as the individual that I wanted to interview because I am currently finishing my college degree up to become a Registered Dietitian and I feel that I will one day like to work with professional athletes, primarily baseball players. I thought by interviewing a professional baseball coach then I would learn the technical aspect of the business and I would have a good idea as to what may be expected of me if I was to be hired as a team Dietitian for a professional baseball team.

After the interview was finished, I took some time to carefully reflect back on the comments that Mr. Green had made to the questions I asked him and overall I feel that I learned a lot from this experience. An average person may think to themselves how does coaching a professional baseball team have anything to do with technical writing? Well, to my surprise, it has a whole lot! As you read the transcript of the interview, you will begin to understand how important technical writing is to professional baseball.

When you are finished reading the transcript, I hope you will be able to learn what I learned from this interview. I learned that different technical writing aspects are used daily in professional baseball from writing memos to communicating through emails. I also learned that in professional baseball, you come into contact with many different audiences and you have to be able to adjust to their different communication needs. This was an interview that I felt gave me an insight to professional baseball that I never knew existed.

__________________________________________________________

Transcript of Interview with Kevin Green

1) Angie (Interviewer): “How is technical writing used in your profession as a professional baseball coach?”

Kevin Green (Interviewee): “After each game that is played, I have to submit evaluations of each player that participated in that game and write a brief memo including what all the players did for that particular game. I also have to point out all the players strong points as well as their weak points and whether or not they will become players that will ultimately move up to the Major Leagues.”

2) Angie (Interviewer): “What types of professional documents are used in your profession?”

Kevin Green (Interviewee): “There are two types that I use on a regular basis: The first is an organizational document that is submitted over the internet and read by all the coaching staff and managers of all the teams within the Chicago Cubs franchise. The second is a memo form document that I use to send out to the higher ups in the organization, including the owner, informing them of how each player is doing after each and every game.”

3) Angie (Interviewer): “How has technical writing impacted the game of baseball today vs.10 years ago?”

Kevin Green (Interviewee): “With the technology of computers constantly improving, I feel that technical writing is now a standard part of the game of baseball vs.10 years ago when computers were just starting to become a way of communicating to others and they were not used as frequently as they are used today.”

4) Angie (Interviewer): “What would happen if technical writing were to become non-existent in your line of work?”

Kevin Green (Interviewee): “Well, I feel that I would not be able to perform my job on a professional level because technical writing is a big part of my daily routine. Many important people within the Chicago Cubs organization rely on my memos and reports that I submit to them on a daily basis to receive the vital information that helps these minor league players advance to the top level and if I wasn’t able to communicate to my bosses then perhaps these players would never get a chance to play higher baseball.”

5) Angie (Interviewer): “Do you work with a team Dietitian? If so, what types of technical writing would that position require?

Kevin Green (Interviewee): “Yes, we do have a team Dietitian. He works with the players who have weight problems and helps them on getting their eating habits corrected so they can continue to work to hard to get to the big leagues. As a Dietitian for a professional baseball team, you are required to perform individual evaluations that are submitted to the team doctors as well as to the bosses of the organization so they can read the improvements that are taken place by the players who may suffer from eating disorders and to decide if these particular players will need further assistance on getting better.”

6) Angie (Interviewer): “What types of audiences do you work with?”

Kevin Green (Interviewee): “I work with two types of audiences: formal and informal. An example of a formal audience would be my bosses who include: the manager of the team I coach with, the Director of Baseball Operations, the General Manager as well as the owner of the Chicago Cubs. Having these particular people as my bosses, it is important that I make sure that when I am sending them my daily reports and evaluation memos, that I use the proper language as well as writing styles necessary to inform my audiences on the information they are looking to review. Also, working with this type of audience allows me to be more in depth with my information and I can elaborate on certain situations that only these people would understand.”
“An example of an informal audience would include: newspaper reporters, front office assistants and website designers. Working with these types of audiences allows me to be brief and offer only general information necessary for my particular purpose of why I am communicating with them.”

I would like to take a few moments of your time to thank you for allowing me to interview you with questions regarding your professional career. I know that in your line of work you don’t get much free time for yourself, so I truly appreciate you finding time in doing so for this interview. I admire what you do as a person as well as a professional baseball coach. You sound as though you truly are doing a job that you love and not every person can honestly attest to that.

I did not realize until after I was reviewing your answers to my questions how much technical writing is used in you field of work. As I reach closer and closer to my goal of becoming a Dietitian for professional athletes, I now feel that I have a good sense of what types of technical writing skills I need to master as well as the different types of audiences I will be working with. I understand the importance of making sure my “not accepted late” assignments are due on time because a lot of our assignments require the reviews from other classmates and I don’t want to become a burden to my fellow classmates if I am late on an assignment that requires a peer review.
Along with being on time with my assignments, I have also followed my plan by utilizing other classmates’ assignments through Blog if I was stuck on an assignment or was uncertain on how to do an assignment correctly. By using this approach, I have been able to work on a more consistent basis.
So, I feel that I have indeed followed my usability plan that I designed for myself and will continue to do so during the remainder of this course. Within this profession, I believe the following situations will become part of my everyday communication with others:

1) Email: I believe I will be communicating throughout the day with email. I may be working with parents who are unable to talk to me on a face to face basis, so emailing may be an option for me when I am trying to provide information for them. I may also be using email to contact doctors and other professionals if I need further assistance for a client.

2) Memos: I believe that I will be communicating to my clients with memos for those who may not have email and prefer to read information that I will have to offer them on paper. This is also I way that I might keep copies of the evaluations that I will be doing on my clients as a back-up incase I ever had a problem and couldn’t access my computer.

3) Oral Presentations: I believe that a lot of my duties that I will perform throughout the day will be oral presentations. I will be sitting down with clients in either a group setting of perhaps a one-to-one basis and conducting meetings with them about their eating habits and concerns. I may also be presenting Power Point presentations that will provide information to clients from a visual perspective.

To me, these are the three everyday communication situations that I see taking place in the profession I plan to work in. So, with this in mind, I must recognize the type of audience that I will be working with to ensure that they receive the proper help needed in an effective way.

September 12, 2006-HW: Annotated Bibliography x2

Flesher, Jared. Part One: Audience Analysis & Purpose

Audience- You want to learn all you can about the audience who will be reviewing your job application packet to ensure you are using the proper grammar, language and writing style.

Purpose- You want to identify your reasons for way you are designing a job application packet.
- To be offered an interview for a position that you are applying for and to be hired for that desired position.

Part Two: Task Analysis

Before you begin your job application analysis, you want to gather all information that you will need to perform your task:

                            1. Have a copy of the job-listing on hand so you can make notes and highlight important areas of concern that you know your audience is seeking from potential candidates applying for the position.

                            2. You want to do research on the particular company that you are looking to get hired by so you have a general idea as to what the company’s policies and procedures are all about.

                            3. Use many references available to you as guides on how to format both a cover letter and résumé. It is important that you have the proper format in writing both your cover letter and résumé.

Part Three: Writing and Organizing Your Information

Once you know that type of format you are going to use in designing your job application packet, you can now begin brain-storming your ideas and organizing them on paper.

After you have written down all the information that you need to design your cover letter and résumé, now you can formulate your rough drafts.

Part Four: Test Early Versions of Your Job Application Packet

Here is the stage where you want to have other people read through your rough draft and have them make corrections to any mistakes that you may have as well as giving you constructive criticism that may help to improve your application packet.

Part Five: Revise Your Rough Draft

After all the corrections and comments have been made to your application packet, you may now begin to formulate your final draft that will be submitted to your audience for review and consideration for the job you are applying for.

Once you are finished writing your final draft, proof-read all of your work to ensure that you have done all necessary corrections to correlate a good submission of your work.

Part Six: Submission of Your Job Application Packet

This is the step where you would submit your application for the review and consideration for the position you are applying for.
After reading through some of the web links found under the “Writing Process” category which is located in MyCompLab, I am certain that I have used many of those processes in both my personal as well as my academic writing experiences. At this time, I do not consider my current job to be a professional career where those writing techniques would apply, but I do believe that once I graduate from college and find a professional job then that is when I will be using those different writing processes.

Out of the many writing processes that I read through, I thought that the most important processes were the ones on: pre-writing, outlining and drafting. To me, these three concepts go hand and hand and you need all three processes in order to write a well-organized and well-prepared paper. I believe that it is always important to begin a writing process by brain-storming your ideas on paper so you can then begin to form a foundation in which your paper will built from. You should also make sure that you have a rough draft that can be proofread by others so they can look for mistakes and offer you constructive criticism that might help make your paper sound stronger than it was.

After reading through the different writing processes that were offered, I believe that all were valid points and you should follow all of them. To me, there wasn’t one that I thought was unimportant.

Week #3: HW-Reading Reflection #2

In Ch.3, I found it important when I was reading on how technical writing and communication are task-oriented. Most people who are looking for information want it for a reason; to perform a task. I think this is important to remember because the book points out to steps that must be remembered if you ever want to design a usable information site or program. First, begin by defining the main task the audience is looking for. And secondly, once you have identified the main task, create an information plan.

In Ch.5, I found it important when I was reading about the concept that takes place when designing a webpage that will be viewed by audiences from all over the world through the internet. There were 3 concerns that must be met before you can publish your webpage. 1) Writing Issues: You want to keep in mind the audience who is viewing your site doesn’t want to spend hours reading through your information you provided. You want to make sure that you set your information up into small passages that are easy to read and make sure your information makes sense. 2) Design Issues: You want to make sure your webpage is organized, has color and visual pictures which will enhance your appearance of your webpage. 3) Technical Issues: This is probably the most important concern to remember because here is where you need to make sure your website is functional to your audience. You will want to test your links that you have included to ensure that they work as well as making sure your site is usable to your audience.

In Ch.10, I found it important when I was reading about all the different ways that everyday communication is used. What stood out the most to me was the section on Emails and how they play such an important role in communication today. Not only is emailing fast and convenient, but there are some important usable tips to remember when emailing someone. For example, make sure that what you write in an email is appropriate and that you keep in mind the type of audience who is viewing the email. You also want to keep your emails simple and to the point. You do not want to bore your viewer.

I found this week’s readings to have been useful to me because when I was working on this week’s assignments, the information that I read over helped me to fully understand the concept of emailing, writing a cover letter and resume, in addition to, just learning how technical communication plays a big role in everyday life.

I found this week’s readings to have been useful to me especially when I was working on my cover letter and resume. Ch.10 gave important information to follow as well as examples of a cover letter and resume that helped me in designing my own application packet.

I found this week’s readings to have been useful to me from my past, present and even future writing projects because I could compare writings that I have already done to the writings that I am working on as well as the writings that I plan to do and incorporate the necessary changes to make my writings the best that they can be.

I feel that the course outcomes for the week were to gain knowledge of the importance of websites and the different ways that technical communication is incorporated into everyday life. I feel for this week that this course opened my mind to cyberspace and to become more conscious as to what I am writing as well as to where I am sending my writings because sometimes your writings could end up in a place you were not expecting!

Week#2: HW- Blog Posting on Audience Analysis for a Job Application

As I prepare to put together a job application packet that will be reviewed my the particular audience involved in the hiring process of where I am applying to, here are some guidelines I have put together for myself to follow in hopes of being hired for the position in my desired field.

I will start by doing some background information on the particular company that I can potentially be working for so I am familiar with the company’s history was well as their policies and procedures. I think this is a good start so I can get an idea as to the type of audience who will be involved in my possible hiring process as well as having knowledge of the company itself.

Next, I am carefully going to read over the job advertisement and take notes on what this company is actually looking for from its applicants. I am going to look for keywords stated in the job description and the job requirement sections so I know what is important to the company as well as what they are looking for. I also what to make sure that when I am writing out my cover letter, I incorporate those keywords into it so I am keeping the interest of my audience and to make my cover letter stand out from other applicants.

I will also provide examples of the work experiences that are related to the particular position I am applying for to show my audience that I have on-the-job training which I feel is important to any company who is looking to hire.

As I am begin writing my résumé for my application packet, I will be focusing on the following aspects: my objective for why I want this position, my education background, my employment history within recent years, my special skills that I posse as well as my references. I will have to keep in mind the type of audience that will be reviewing my résumé so I can make sure a use the appropriate language and show professionalism within my work.

All in all, I feel that if I follow these guidelines that I have set for myself and keep in mind the audience who will be reviewing my application packet, my chances of getting a call for an interview will be great. This weeks work helped me to better understand research and writing processes because I was able to read other classmates assignments that they posted and by reviewing their assignments, that helped me to know if I was on the same page of as everyone else.
By reading and actually replying to several classmates’ work, I was able to achieve a sense of accomplishment for myself for this week’s course outcome. I feel this way because I offered my personal opinions that may actually have helped a classmate improve a pond their writings in a positive direction.
I feel that reading and replying to my classmates’ work helped me to better understand research and writing processes because every blog I read viewed a different opinion or approach which helped me to become more open-minded about that particular assignment.

Resume:

Accessible- When writing a cover letter and resume, you must make sure that when you are ready to send out the documents via the internet or perhaps postal mail that you have them written in the appropriate language so the person who will be receiving both documents can read them. For example, if you are applying for a job in another country, you want to have that countries dominate language in the cover letter and resume. You should also make sure that all your information is well thought out and organized for that particular person who will be reading your work.
Usable- Both documents should have only accurate information provided and that the information is pertinent to the person reviewing it. For example, all the information stated in your resume under your work experience category should be accurate with up-to-date jobs from previous and present employers.
Relevant- All the information that you put into both your cover letter and resume should focus on your purpose for wanting this particular job. For example, in your cover letter, you want the reader to be interested in you and not bored with what you are saying about yourself. Focus on your objective for wanting this job and give a broad description of why you are in this field along with your most recent experiences you may have. In the end, all the information you provided should make sense to the reader as to why you want this position.

Week #2: HW-Rhetorical Situation

After reading through the assigned chapters and websites, I feel that I have a better understanding of the rhetorical situation that was implemented throughout the readings more so then I did before. I know that without effective language in today’s technical society, most of us would have a hard time getting through our normal day-to-day activities and jobs. Most people rely on desktop computers and laptops to communicate to other people throughout our world by means of the internet and e-mail. As our technology continues to become more and more advanced, it is crucial that working people in professional positions have a strong sense of technical communicating. For example, if a secretary for a major company was going to type out a formal business letter that was going to be e-mailed to all of its clients then that secretary would have to take the time to prepare the letter in a professional manner following all formats necessary to have an effective outcome. She would have to analyze the type of audience or viewers she would be writing to, making sure to use the appropriate language for the letter. She would have to make sure that she had a purpose for the letter and that the purpose was stated clearly to the readers. In addition, the context of the letter would have to be accurate and organized. If she were going to attach any type of graphs to show additional information in the e-mail, then those graphs would have to show clarity as well as visual effectiveness for the viewers to get and understand her reasoning behind the graphs. This is just one minor example of the importance of technical communication from the rhetorical point of view.

September 5, 2006: HW-Reading Reflection #1

I would like to address the following points, ideas and issues that I understood from the assigned reading. Point #1- After reading Ch.1 from the book, A Concise Guide, I learned that there are many important elements that are needed to make Technical Communication effective to people from all around the world. Three main characteristics that stand out the most in helping people to communicate and access information from all around the world are: Accessibility, Usability and Relevance.
Accessibility is a characteristic that is important in making sure that information that is provided is easily accessibility to anyone who may need to receive it. It also involves the accuracy of the information that has been provided to sure that there are no errors or mistakes.
Usability is another characteristic that ensures the information that has been given is received in a timely manner and that it helps in the efficiency of getting the job completed no matter where it many be. By just a click of a button and all the information you are requiring about is available.
The last characteristic needed is Relevance. Relevance is important in making sure that the information provided fits the appropriate needs of the audience, reader of viewer. The information should be relevant and should only focus on the point that the writer is trying to make. There should always be a purpose behind what the writer is trying to accomplish.
Point #2- After reading through the Colorado State websites, I found the following point to be of importance to me. In regards to the 1st website, much information was provided on the audience perspective. In sub-heading #5, Analyzing an Audience, it talked about the two different categories of an audience: Academic and Nonacademic audiences and how these two categories are important to a writer. It is important for a writer to learn as much information as possible on the type of audience that will be analyzing the work given. Whether the audience is reading the work or is listening to the writer speak, you, as the writer must make sure that all materials present are carefully organized and you have to be prepared. You also have to keep an open mind on your work because everyone in your audience may not agree with your ideas and may have their own bias opinion. This point to me is very important when a reader is trying to give a presentation or is handing in an assignment to an instructor.
This reading assignment is going to be useful in this up coming week because both my instructor and classmates will be reviewing assignments that I have written and posted and now I have a good idea as to what I need to do to prepare for this.
This reading assignment will be useful in this course major because majority of the written assignments will be submitted to my classmates and instructor over the internet and I have to make sure that I follow the proper requires so my information will be submitted in a timely manner as well as staying organized and accurate with my information.
This reading assignment was useful in past writing projects because when I had to do oral presentations, I was always aware of the type of audience that I was going to be speaking in front of ahead of time. This reading assignment is useful to present projects because I will be submitting all of my assignments over the internet to my classmates and instructor to review and offer suggestions to help me improve a pond my writing abilities.
This reading assignment is going to be useful to future projects because when I do become a professional in my field of study, I will be able to communicate on the appropriate level that I will need to be at.

August 25, HW#1, Introduction

Hello, my name is Angie and I am a new student at Mesa Community College. I recently moved to Mesa, Arizona from Cranberry Township, Pa. I am a sophomore studying to become a Registered Dietitian. I plan to transfer to ASU in the Fall of 2007 where I would like to continue my education and earn my Bachelors’ Degree in the field of Nutrition. I would one day like to work in the field of nutrition with obese children who are suffering from this growing epidemic or perhaps I will like to work with professional athletes who are looking to eat healthier and manage their weight in a positive way so they can continue to compete in professional sports. At this time I am not sure which path I am going to pursue, but I do know that I have a true passion for both areas and when the time comes, I will know which to choose.
This semester at Mesa Community College, I will be taking ENG111, Technical Writing with instructor Shelley Rodrigo. I chose to take this particular class because I feel this class will be very beneficial to me as I continue my journey towards achieving my goal as becoming a Registered Dietitian. I have taken both ENG 101 and 102 and did very well. I was a little uncertain as to what Eng111, Technical Writing was all about, but now that I have read through the class syllabus I have begun to understand what will be expected of me.
